Insightly is the better fit for teams where project delivery and sales live in the same workflow – but Zoho CRM pulls ahead the moment your team needs deeper pipeline customisation, broader integrations, or room to grow beyond that core use case. That’s a real distinction worth unpacking, because the two tools are lumped together as “CRMs with project features” far too often, when in practice they make very different assumptions about what your team actually does all day.

If you’re evaluating both, you’ve probably hit a point where a standard sales-only CRM doesn’t cut it. Maybe you’re a consulting firm that wins deals and then executes them. Maybe you run a small agency and can’t afford one tool for sales pipeline management and another for project tracking. Either way, this comparison is for you.

What Zoho CRM and Insightly Are Actually Built For

Zoho CRM is, at its core, a sales-first platform. It’s designed to track contacts, manage deals, automate follow-ups, and give sales leaders visibility into the numbers that matter – sales forecasts, conversion rates, deal stages. Project features exist within the broader Zoho ecosystem (mainly through Zoho Projects), but they’re not baked into the CRM itself by default.

Insightly takes a different angle. It was built specifically for teams that treat the post-sale phase as seriously as the pre-sale phase. Close a deal in Insightly and it can automatically convert that opportunity into a project – complete with tasks, milestones, and assigned owners. That handoff from deal won to project started is native functionality, not a workaround or a paid add-on.

That single architectural decision tells you a lot about where each tool fits.

Zoho CRM vs Insightly: Core Feature Comparison

Let’s get specific. Here’s how the two platforms compare across the features that matter most to teams combining sales and project work:

Contact and deal management: Both handle this well. Zoho CRM offers more granular control over custom fields, deal stages, and scoring rules. Insightly keeps it cleaner and simpler, which some teams prefer.
Project management: Insightly’s native project module is a genuine differentiator. You get tasks, milestones, pipelines (yes, project pipelines, not just sales ones), and a link back to the original contact or deal. Zoho CRM requires integration with Zoho Projects for comparable depth.
Automation: Zoho CRM’s workflow automation is significantly more capable. You can build multi-step sequences, trigger actions based on field changes, and connect to external tools via webhooks. Insightly’s automation (called “AppConnect”) is available but lives on a higher pricing tier.
Reporting and analytics: Zoho CRM wins here. Its analytics module, Zoho Analytics, handles advanced reporting that Insightly simply can’t match at the same price point. For teams tracking win rate or customer acquisition cost, that matters.
Email and communication tools: Both offer email sync and tracking. Zoho CRM includes a built-in telephony layer and social media monitoring. Insightly keeps communications lighter but links conversations cleanly to project records.
Mobile apps: Both have functional mobile apps. Neither is exceptional, but Zoho CRM’s mobile experience is more feature-complete.

Pricing: Where the Real Differences Emerge

Pricing is where this comparison gets interesting. Both tools offer free tiers, but the constraints are tight enough that most professional teams will end up on a paid plan.

Zoho CRM pricing (per user/month, billed annually):

Free – up to 3 users
Standard – $14
Professional – $23
Enterprise – $40
Ultimate – $52

Insightly pricing (per user/month, billed annually):

Free – up to 2 users
Plus – $29
Professional – $49
Enterprise – $99

Zoho CRM is meaningfully cheaper at equivalent feature tiers. For a 10-person team, the gap between Zoho’s Professional plan and Insightly’s Professional plan adds up to roughly $3,120 per year – not trivial. But Insightly’s per-seat cost includes native project management, so you’re really comparing one tool doing two jobs against Zoho CRM potentially needing Zoho Projects added on top.

If you’re tracking customer lifetime value and looking at software spend as a proportion of revenue, Zoho’s overall ecosystem can actually become more expensive than it first appears once you factor in multiple Zoho apps.

Integrations: Zoho’s Ecosystem vs Insightly’s Focused Stack

Zoho CRM connects with over 800 third-party apps via native integrations and Zoho Flow. It plays well with Google Workspace, Microsoft 365, Slack, Mailchimp, and most tools a mid-size sales team would already use. There’s also a well-documented API for custom builds.

Insightly integrates with a solid but smaller set of tools – Google Workspace, Microsoft 365, QuickBooks, Xero, Slack, and others through Zapier. Its AppConnect platform handles more complex automation, but that’s a premium feature.

The honest take: if your team already lives in the Zoho ecosystem (and many do – Zoho has products for HR, finance, support, and marketing), keeping Zoho CRM as the center of gravity makes sense. If you don’t, Insightly’s integration footprint is sufficient for most small-to-mid-size teams without becoming overwhelming. You can explore more options in our CRM Tools Directory.

Which Teams Should Choose Insightly

Insightly earns its place for a specific kind of team. It’s not for everyone – but for the teams it fits, it fits well.

Consider Insightly if your team:

Regularly converts won deals into billable projects (consulting, agencies, IT services, construction)
Needs a single system that non-technical staff can learn without a long onboarding runway
Doesn’t need sophisticated RevOps reporting or complex multi-step automation
Values the native deal-to-project handoff more than raw feature breadth
Is running a team under 50 people and wants to avoid tool sprawl

The deal-to-project conversion feature is genuinely useful. When a salesperson closes a deal and that action automatically spins up a project with pre-set tasks for the delivery team, you’re cutting out the manual handoff that causes things to fall through the cracks. That’s real operational value, not a marketing bullet point.

Which Teams Should Choose Zoho CRM

Zoho CRM is the stronger choice when sales complexity outweighs project integration needs – or when your team expects to grow into more sophisticated go-to-market operations.

Consider Zoho CRM if your team:

Runs complex, multi-stage sales cycles that need granular pipeline control
Needs advanced automation without jumping to an enterprise price tier
Already uses other Zoho products and wants a connected ecosystem
Requires strong forecasting tools and custom sales dashboards
Has a dedicated go-to-market team that needs segmentation, lead scoring, and territory management

We compared Zoho CRM against another sales-focused competitor recently – if that’s helpful context, see our Zoho CRM vs Pipedrive breakdown for a different angle on where Zoho’s strengths sit.

Zoho CRM also does particularly well supporting teams that are building out a more structured ideal customer profile and need the data infrastructure to track it. Insightly doesn’t have that same depth in lead qualification tooling.

The Verdict: Fit Beats Features Every Time

The question isn’t which tool has more features – Zoho CRM does, almost categorically. The real question is which tool fits the way your team actually operates.

If your day starts with a project status update and ends with a sales call – and those two things need to live in the same system without a complicated integration holding them together – Insightly is genuinely hard to beat at its price point. It doesn’t try to be everything. It tries to be the right thing for one specific kind of team.

If your sales motion is the primary complexity and project management is secondary, Zoho CRM gives you far more room to build, automate, and scale. You’ll probably need to connect Zoho Projects or another tool alongside it, but the sales layer is deeper and more configurable than anything Insightly offers.

Think back to the scenario that likely brought you to this comparison: a team that wins deals and then has to deliver on them, currently using two separate tools that don’t talk to each other well. Insightly was built to solve exactly that problem. Zoho CRM was built to make your sales process as effective as possible. Knowing which problem is more painful for your team right now is the fastest way to the right answer.
